Position Overview

We are growing and looking for a personable, highly organized Legal Receptionist to join our team. As the first point of contact for our firm, you will create a professional and welcoming experience for clients, visitors, and callers.

The successful candidate will manage our front desk, handle a multi-line phone system, and provide administrative support that helps our attorneys and staff keep day-to-day operations running smoothly.

We are looking for someone who is friendly, professional, proactive, and comfortable managing multiple priorities in a fast-paced law firm environment. The ideal candidate has a polished demeanor, excellent communication skills, and a genuine interest in supporting a legal team. We’re especially interested in candidates who are ambitious, eager to grow with the firm, and looking for a long-term opportunity to take on more responsibility and advance in their career.

This position will work closely with our attorneys and staff and report to the firm’s Director of Operations.

Responsibilities

Front Desk & Client Experience

  • Greet clients, visitors, and guests warmly and professionally
  • Answer, screen, and route incoming calls on a multi-line phone system
  • Monitor and manage the firm’s main email inbox and voicemail
  • Maintain a clean, organized, and welcoming reception area and conference rooms
  • Schedule and prepare conference rooms for meetings, depositions, and client visits
  • Offer hospitality and refreshments to clients and visitors as needed

Administrative & Office Support

  • Receive, sort, and distribute incoming mail, packages, and deliveries
  • Prepare outgoing mail, shipments, and courier requests
  • Order and maintain office and kitchen supplies and equipment
  • Assist attorneys and staff with scanning, copying, and document preparation
  • Maintain accurate contact lists, directories, and firm records
  • Assist with scheduling and calendar coordination for attorneys as needed

Additional Support

  • Coordinate travel and meeting arrangements for attorneys as needed
  • Assist the litigation team with filing, scanning, organizing, and creating binders for case documents as needed
  • Assist with special projects and firm initiatives
  • Perform other duties as assigned

Qualifications

  • Minimum 1–2 years of experience as a receptionist, front desk coordinator, or administrative assistant; legal or professional services experience preferred
  • Excellent verbal and written communication skills
  • Professional, polished demeanor with a strong customer service orientation
  • Ability to manage a multi-line phone system and handle a high volume of calls professionally
  • Strong organizational skills, attention to detail, and ability to multitask
  • Ability to prioritize competing demands and work independently in a fast-paced environment
  • Proficiency with Microsoft Office, Outlook, and general office equipment; high level of professionalism and discretion with confidential information

High school diploma required. Additional education or relevant experience in an office, hospitality, or legal setting is a plus.
